Perhaps you should first consider what the intent of the conference is. Imagine... Is it a small gathering of friends to exchange ideas or a sporty, larger event to (also) properly promote? Once you have an idea of what you want it to be, you can determine the approximate number of guests. Once you have that, look at room availability in a ca -time and after that you could narrow down 2 or 3 dates and the location. That's how I would proceed, but maybe I'm missing parameters.
